It is expected that each family fulfills a rostered time for each band that your child or children are members of during the weekend. The Band Camp has proved a huge success in the past due to the invaluable, voluntary contribution provided by parents.
TPS Band Camp is a rewarding and enjoyable experience for all our children - thank you so much for your support!
All parents/volunteers involved with the children at the camp must have a valid (Volunteer) Working with Children Check Registration.
These can be obtained online from Services NSW.
As volunteers, there is no cost incurred but you do need to visit a Services NSW to complete the process.
We recommend you apply for your WWCC as soon as your child joins band!
Parental participation in the camp program includes help with setting up equipment, directing children to tutorial rooms, dining room assistance, recreation activities and general supervisory roles. Each band also requires parents who are prepared to stay overnight for a successful and safe camp.
Band Camp follows a pattern of a whirl of activity, when setting up/packing up or moving children to each activity, followed by a quiet period when there is a not a lot to do but watch the children in their rehearsals or activities and be there in case they need something. Most shifts begin during the quiet times, so tasks may not be readily apparent. Please ask at Band Camp Central or check your volunteer task list for your shift to see what roles will be coming up in the next burst of activity so you can be prepared and in the appropriate location.
Here are some points to keep in mind as you take responsibility of the children during your rostered time-slot:
The children are in your care during your allotted time-slot and need to follow the timetabled activities. Schedules are printed on their lanyards.
Please do a headcount regularly and ensure that you are within eyesight of them at all times.
During recreation time, please enforce common-sense playground rules, e.g. no stick fighting, fair play, no out-of-bounds.
Please ensure that the children are drinking plenty of water, wearing hats if they are outside and have sunscreen (supplied by the children) applied.
Please ensure that children visit the toilet with a buddy, not alone (they can go in groups of more than two!), and that you are not alone with any child (for child protection reasons).
Provide assistance to the children, where required, when transporting instruments to and from sessions.
You will be sharing your time-slot with other parents, so please ensure you are not alone with any child at any time.
Volunteers' meals are not catered during Band Camp (except for volunteers staying overnight who will be provided dinner and breakfast). Please bring your own food and drinks. These can be stored at Band Camp Central in a cooler bag and consumed while the children are in rehearsals/tutorials.
More detailed information can be found on the Volunteer Task Sheets, Meal duties and Overnight at Band Camp pages.
Volunteering for the roster is done via the Band Camp forms (distributed roughly one month before Band Camp).
More information can be found on the Volunteer Roster page.
We ask all volunteers sign in and out of Band Camp. This is so that we can make sure all working with children protocols have been followed, and know who is at camp in case of emergency. There will be a QR code at Band Camp Central, or you can use this link: https://forms.gle/T6t2jgNTfXivpjtBA
Before leaving your shift, please check that your task is covered by other volunteers.
You are most welcome to take photos during Band Camp.
If you have been at Band Camp and taken some wonderful photos, feel free to share them with your fellow band families eg in WhatsApp.
We do ask that our parents/volunteers exercise common sense and consideration when taking photos of other people's children and when sharing to social media.
You can also email your photos to us at bandcamp@tps-pandc.org.au for use in the newsletter and/or for archiving.
We may also have a 'Band Camp photographer' (a member of Band Camp Central) taking photos throughout the camp. These will be made available via Google Drive after camp.
